Consent Agenda

No Show Teachers for Classes and Events (Stan)

Problem: Teachers are too often not showing up for their classes and events.

Solution: Modify Rules and Policies/Events to add "11. If an instructor fails to show up for a class or event, and fails to cancel the class or event, or otherwise abuses the calendaring system, Honorarium Auditors and calendar administrators may, at their discretion, temporarily ban the instructor from creating or teaching future classes or events. The ban may be lifted when the instructor contacts the Board of Directors with a suitable reason, excuse or explanation. Subsequent offenses may result in a ban from teaching classes or events for a longer period of time."

Note: Teachers (or sponsoring members) and Calendar Admins can cancel classes by clicking on the "Edit Event" button and then the "Cancel Event" button at the bottom. Registered students will get an email and/or text when the class or event gets cancelled.

Capitalized vs. Expensed (Ken)

Problem: Our current standing rules and policies under Section 12 Finances, Items 6 & 7: state that property purchases equal to or above $500 are to be capitalized. Anything under $500 and having a useful life of less than one year are to be expensed. The low threshold of $500 requires us to track a lot more equipment and keep them on our books longer.

Solution: Finance recommends we adjust the dollar amounts to $1,000 to more accurately reflect the real lifespans of most purchases at DMS and to reduce the number of items we need to track.

Note: IRS generally accepts up to $1,500 but in some cases may go as high as $2,500 or $5,000. Increase in De Minimis Safe Harbor Limit for Taxpayers

PR Fellowships (Priyanka Pohar)

Problem: PR would like to thank members who have been helping PR out.

Solution: PR would like to give fellowships to two members. They will be named at the meeting.

Jewelry & Small Metals Monthly Stipend (Joseph L.)

Problem: Hands tools such as pliers, files, drill bits, tweezers, etc., and consumable supplies such as sandpaper, polishing compounds, saw blades, etc. in the Jewelry department are being depleted, and or damaged with no current process of replenishment or replacement.

Solution: Provide the jewelry department a monthly stipend of $200 to maintain an adequate inventory of supplies and hand tools.

Publish DMS Weather Station Data(Brian Terry as Discussed with Stan Simmons Proxied by Dwight Spencer)

Problem: No place for the public to view DMS weather station data nor is there access to publish more information.

Solution: Publish the weather data on DMS website. An example site is already being served at 192.168.201.194. Have dallasmakerspace.org/weather serve the weather data to the site. We have been advised that the best setup would be to push the data from the raspberry pi and serve the webpage externally (AWS). Science is flexible on implementation but would like for the data site to be as accessible to members as much as possible and be able for team members to further develop the page and add more capabilities to the weather station. In keeping with how dallas.ms/air functions, redirection for dallas.ms/weather would also be included.

Commute Mr. Kirkland's Ban to Time Served (Eric Brunner)

Problem: Our culture amongst active members and volunteers has become overly litigious and punitive fostering an acerbic environment of distrust and divisiveness... but we're getting better. All too often, anyone of us is too quick to pass judgement against members outside of our common DMS social circles and to become unnecessarily worked up against those persons based on hearsay and conjecture.

Solution: Commute Mr. Kirkland's ban to time served thereby demonstrating a shift in our culture towards mercy, forgiveness, and fellowship amongst members.

New Business

Create floorspace by removing 2 common room tables (Brandon)

Problem: Not enough project storage or workshop floor space.

Solution:

• Remove 2 of 6 common room tables
• Give end of the common room to science (they currently have ~12'x23', new spot would be 11'x25', the same amount of floorspace). This allows them to move further from the noisy and dusty workshop.
• Use the freed up valuable workshop floor space for more project storage (3 more pallet racks) and work tables.

Background: Shortage of project storage is becoming a critical issue, as all the project storage shelves fill up quickly until the end of the month. This causes many members to be unable to start working on projects because there is no space to store them. Rarely are there more than 24 people sitting in the common room at a single time (capacity of 4 tables) but there is constantly 0 project storage available, so it makes sense to adjust floorspace usage to better meet member demands.

Create floor space by removing all project storage (Zach Metzinger)

Problem: Floor space for work areas and equipment is a valuable commodity, and project storage is an oft-abused (by members and committees) consumer of this space.

Solution: Remove all project storage racks, increasing available workshop area by at least 120 sq. ft.

Background: No solid data has been provided showing the under-utilization of workshop or common-area tables. We are not U-store, and members should be prepared to bring and take with them any project they are working on. Other proposed solutions, such as removing work tables in the workshop or common room, deprive valuable work-space from a diverse cross-section of members during busy periods.

Purchase Formlabs Form 2 for 3D Fab (Mitch Cerroni)

Problem: Polyprinters provide excellent use of FDM (Fused Deposition Modeling) printing but that's only one type of 3D printing. SLA (stereo-lithography) 3D printing provides a much higher resolution than FDM printing which would provide members at the space more freedom to create jewelry, miniatures/figurines, and more precision prototypes. There is also resins with unique properties like optically clear, high strength, flexible, and castable resins. Relavence To expand our capabilities to teach design and prototyping of 3D models with higher detail. Ability to teach classes which add to the educational mission of the Dallas makerspace as a educational non-profit.

Solution: Purchase a Formlabs Form 2 and the Pro Service plan, totaling $3998, which would cover swapping the printer if it ever has problems and provides training and support. The standard resins are $149 (one included with the machine) and a build tank is $60 (which is consumable after 2 liters one included), I would plan on the members purchasing their own build tank (to prevent messes and unused resin) and specialized training and an interlock (either software or hardware lock) would be required.

Prohibit Storage on Tables (Brooks Scharff)

Problem: Recently, members have started storing projects on top of work tables for over 12 hours, angering members that are then unable to work on their active projects.

Solution: Reaffirm that storage on top of work tables is PROHIBITED. Items that cannot be stored in existing open spaces must leave the Dallas Makerspace when the member working on it leaves. The Dallas Makerspace is not obligated to provide storage space.

Purchase English Wheel, Shinker/Stretcher & Throatless shear for Metal Shop (Chuck Graf & Tim Bene)

Problem: Metal shop is in need of more expansion. Many members have asked about getting an english wheel. Without the Shrinker/stretcher & throatless shear, It would make it more difficult to use the English Wheel.

Solution: Purchase the English Wheel[1], Shinker/stretcher[2] & throatless shear[3]. Allocate $2,024.75 to add to metal shop fund of $1,000.00 for the purchase of the equipment costing the total of $3,024.75.File:Quote.pdf. The afformentioned tools require no power, therefore reducing the cost to install, run, & maintain. In addition to the capabilty of the english wheel, It can also create 5/8", 1 1/2" beads & step roll to allow a flange. The tools are at the same capacity in sheet thickness to allow for seemless work flow. We are hoping that the purchase will bring more members into the metal shop. The addition of this equipment will allow us to give more training classes on how to make items out of sheet metal. This includes items of complex shapes such as fenders, fuel tanks, sculptures etc

NEW BUSINESS


5.1 Complaint against member [Jack Wendell, reported by Brooks Scharff] 
(storage)
 - COMPLAINT: "Jack has continually abused his privileges as a Dallas Makerspace
 member by storing his various fiberglass projects for over three months in 
 non-approved places (on top of tables [even after directly being told not to!], 
 on the floor, etc.).  He also had two large boxes (each approx. 3x6x8 ft.) 
 delivered to the Dallas Makerspace without prior approval.  These excessively 
 large boxes then had to be moved to an empty area by volunteers to get them out
 of the Automotive Committee's working area.

Jack was also the purchaser of the forklift.  After repeatedly promising to have
 it removed by January 25th (to both Erik Smith and myself), he failed to do so,
 and as such, several volunteers had to struggle to relocate the equipment to 
 the only acceptable place:  outside.  Jack was notified of this and informed 
 that it needed to be removed IMMEDIATELY.  For the next two weeks, no action 
 was taken.  At this time, the forklift is secured to his trailer which has been
 at DMS for over a week.

I recommend formally chastising this behavior and a three-month suspension."

   - Brooks: In addition to the items in the complaint, Jack was working on 
   fiberglass indoors repeatedly

5.2 Complaint against member [Alex Rhodes, reported by Allen Wan] (harassment)
 - COMPLAINT: "I wish to file a formal sexual harassment complaint against Alex 
 Rhodes for creating a hostile environment for his repeated insistence on 
 creating and displaying graphic cartoonish depictions of genitalia which he 
 disgustingly refers to as a "dick butt" at the Dallas Makerspace. I have very 
 strongly insisted on multiple occasions that he stop this behavior to both him 
 and other board members and he has refused to stop and continues to do so. 
 After making my objections known, I have been removed from all official 
 positions at the Dallas Makerspace. He most recently put a variation of this 
 depiction of genitalia on the finance committee approval stamp. After I 
 chastised him for doing so, he insisted on continuing, obscured the design, and
 flippantly declared that if he were ever accused of putting a "dick butt" on 
 the stamp, he would lie and claim that the stylized inverted D next to a B on 
 the finance committee stamp, which he stated to me was meant to stand for "Dick
 Butt," did not actually have any meaning. I am uncomfortable around open 
 depictions of genitalia and I wish for his sexual harassment of me to stop. I 
 demand that immediate corrective and disciplinary action up to and including 
 expulsion be taken."
 - DISCUSSION
   - Alex: The dickbutt for the 10x10 show was discussed w/ the CA chair, and 
   was reduced to a fraction of it
   - Ken: Hard to recognize as a dickbutt without being told
   - Art: Recall overhearing Allen discussing this
   - Luke: I heard Allen state that he intended to use the new rules as a 
   pretext to file a complaint
   - Stan: I concur with Allen's intent to use the rules as a pretext for a 
   complaint
   - Alex: I offered to replace the stamp when confronted.  I did not wish to 
   offend when I created the artwork.  Stamp reads "CB" to the average person.
   - Ken: Allen does not come across the stamp
   - Zach: Everything save for #2 does not apply to this complaint.  Can we call 
   this a gratuitous sexual image?  Is it obscene?  Do no believe this meets a 
   reasonable standard of rule #2.
   - Alex: Feel like he's trying to make an example of me.
   - Pearce: Have had discussions with Allen on the sexual harassment rules and 
   he indicated an intent to use them as the basis of a complaint - using them 
   to bully someone.
   - Tim: Art show predates the rules by some time...
   - Merissa: Have had conversations with Allen suggesting genuine content
   - Mel: At last BoD meeting, 
   - Ken: His email stating that he was rmeoved because of this is contradicted 
   by his previous statements
   - Luke: Allen explicitly asked us to remove him from various positions and 
   responsibilities.  Think we should replace the stamp.

   at his expense?

   - Zach: Appears to require an enormous amount of time to manage storage; we 
   are running short on work space now.  Electronic management may improve this.  
   More storage comes at the expense of making.
   - Luke: I believe we should give electronic management a chance.  Perhaps we 
   should try to rent some space nearby and rent for storage.
   - Brooks: Burden of care for paid storage increases considerably.
   Alex: Storage is a vital asset for certain projects to happen at the space.  
   As our sheet metal capabilities turn up we will have more demand for storage.
   - Pearce: Having storage helps a lot.
   - Zach: work stables in front of autmotive are now clustered together and not 
   as safe as it should be.
   - Brandon: Not really room for a work table in the area where the new racks 
   were created.

   - Mitch: 6 polyprinters now, but they're just FDM.  Resin printing is new and 
   has different capabilities - 25um resolution vs 400+ um resolution with FDM.
   - Pearce: It's like CO2 vs YaG laser, only a resin printer is within reach 
   unlike a YaG laser.
   - Alex: Resin/tank management and smell?
   - Mitch: OEM CEO has stated no issue with smell.  Watched a live demo and 
   couldn't smell anything.  It's UV sensitive but has UV shielding.  Envision 
   an RFID interlock for machine + resins along with a lockbox.  
   - Costs: Machine [durable] + Build Tank [2L then expended] + Resin [$150/L].
   - Tim: Concern w/ rubing alcohol + fire marshall
   - Luke: Can install a fire extinguisher; willing to try for a few months, 
   return/sell if necessary
   - Mitch: Roughly quadruple print time per volume relative to FDM
   - Mitch: We expect to keep around 5L of resin around, program details to be 
   developed later...

 - AS WRITTEN: "Purchase the English Wheel[1], Shinker/stretcher[2] & throatless
 shear[3]. Allocate $2,024.75 to add to metal shop fund of $1,000.00 for the 
 purchase of the equipment costing the total of $3,024.75.File:Quote.pdf. The 
 afformentioned tools require no power, therefore reducing the cost to install, 
 run, & maintain. In addition to the capabilty of the english wheel, It can also
 create 5/8", 1 1/2" beads & step roll to allow a flange. The tools are at the 
 same capacity in sheet thickness to allow for seemless work flow. We are hoping
 that the purchase will bring more members into the metal shop."

 - PROPOSAL: "Restore the following section to the Storage Rules:
Storage in Committee Areas
1. Anything in a committee area is available for use by all members unless 
documented/labeled as training required.
2. Items that require training may be secured, but a path to obtain use of said 
tool should be documented.
3. If a person must be contacted to use a tool, 2 or more points of contact must
 be listed on/around tool.
4. Storage of materials is not permitted in committee areas unless there is a
 defined/documented area.
5. For items to be considered on display and not storage, items have to be in a 
designated area.
6. Anything that is a personal item in a committee area must have gone through 
the Loaning of Tools & Equipment to the Makerspace
7. If training is required and not set up at least once a month, the personal 
item on loan is subject to removal within 30 days."
